Full-Time, Exempt GENERAL SUMMARY Under the direction of the Collections Database Manager, the Collections Information Specialist contributes to the improvement of data and supports access to accurate and concise information related to the museum collection as housed in the database, The Museum System (TMS.
) Provides first-hand support to users and special projects as assigned.
ESSENTIAL FUNCTIONS Responsible for verifying, refining and updating information in database records, including proofreading and correcting existing records.
Add new subject terms to improve access to records.
Assist in vetting associated digital imagery for works in the DIA collection.
Work with Curatorial and Registrar departments to resolve discrepancies in records.
Provide user training and instruction on The Museum System (TMS) and data standards.
Keep the Standards and Procedures site up to date.
Develop standards using best practices.
Assign metadata to digital assets and upload assets to TMS.
Perform other duties as assigned.
QUALIFICATIONS EDUCATION AND EXPERIENCE Bachelor's degree in Art History, Library and Information Science, Museum Studies, or related field.
One (1) year of experience using a museum collections management system or industry related system, TMS preferred.
Additional years of experience may be substituted for degree requirement.
KNOWLEDGE, SKILLS AND ABILITIES Ability to work occasional weekend and evening hours for special events.
Must be proficient in latest version of Office 365.
Must have proficiency in the use of remote work technology such as scheduling with, connecting to, and using digital collaboration platforms such as Microsoft Teams.
Knowledge of relational databases, Adobe Pro, and Office 365 applications is required.
