Essential functions (job duties):
Job Purpose The Executive Assistant to the President reports to, and provides executive-level administrative support for, the President of the University.
Assists the President with daily administrative duties and completes a broad variety of administrative tasks that include managing an active calendar of appointments; completing expense reports; composing and preparing correspondence; arranging complex and detailed travel plans, itineraries and agendas and compiling documents for meetings.
Serves as a primary point of contact for the Office of the President.
Essential Functions Supports the daily activities and scheduling of the President, including:
Maintaining the President's calendar; scheduling meetings; responding to all internal and external invitations requesting the President's attendance/participation.
Preparation for the President's speaking engagements, conferences and meetings.
Managing the President's logistics for events and transportation needs through coordination with drivers, Chief of Police, etc.
Completing and submitting expense reimbursements and related documents.
Managing all aspects of the President's domestic and international travel including visa processing, if applicable.
Independently handling all routine correspondence.
Maintaining files for the Office of the President and the President.
Managing all board memberships and coordinating meeting materials.
Coordinating professional memberships and related activities Completion of special projects and initiatives.
Serves as the President's communication liaison with staff, faculty, community leaders, government affiliations, outside organizations and other universities, President's Governing Board, professional society memberships and national committees and advisories.
Assists with writing speeches and other correspondence.
Reviews sponsorship requests in collaboration with the Vice President of Governmental and Community Affairs and notifies all relevant parties of sponsorship decisions.
Performs other duties as assigned.

Qualifications:
MINIMUM QUALIFICATIONS Education Associate's Degree Associates degree in Business, Public Administration or related fields preferred.
An equivalent combination of education and experience may be accepted.
Experience Expert (established subject matter expert, 7
years experience) Minimum 7 years of experience directly supporting a high-level executive in a large, complex organization.
Higher education experience preferred.
Knowledge, Skills and Abilities Ability to work with the highest level of discretion and confidentiality.
Ability to prioritize workload and work with autonomy and minimal direction, working under pressure with tight deadlines.
Demonstrated proficiency with Microsoft Office Suite as well as other technology and web skills.
Excellent problem solving, organization, and oral and written communicational skills.
Excellent attention to detail.
Ability to anticipate needs and act proactively without direction.
Strong time-management skills.
Professional demeanor, gravitas and sound judgement, with a talent for comfortably communicating with internal and external partners from diverse cultural backgrounds; ability to properly represent the office of the President.
